“Everybody wants to jump into tactics,” he says, “but if the planning process is sound, then you’re already ahead of the game.”

According to Kellerman, one of the most important parts of the planning phase is simply asking the right questions.
“When we ask clients, ‘What does success look like?’ they often pause. That’s our job, to help them get there.”

Both Brians point out that spending time up front clarifying goals prevents confusion later.
Lagestee shares, “When we do that early work, you don’t have to stop the process later to figure things out. That’s what gives teams momentum.”

Contrary to popular belief, structure doesn’t stifle creativity; it enables it. “People think process means restriction,” Lagestee says, “but really, it gives you freedom.”

Brian Kellerman: Right. We’ve seen a few economic downturns — the dot-com crash, 2008, COVID. What we’ve learned is that companies that keep investing in connecting their teams often come out ahead. Those who hunker down fall behind.
Brian Lagestee: Totally agree. And now we’re seeing AI play a role in planning. Tools that help planners visualize spaces, generate concepts, or produce summaries can shorten the planning cycle and help communicate ideas better, especially early on.
Brian Kellerman: Yes. We’re using AI to streamline ideation, write better proposals faster, and even analyze session content post-event. Tech should enhance the experience, not distract from it. Whether it’s AI-driven closed captioning or note summaries, it all supports that core goal. Better human connection.
Brian Lagestee: Exactly. Technology should serve the attendee. When used right, it makes the experience more meaningful, not more complicated. And in-person learning and connection still win. LED is another great example. More affordable and flexible than ever. We’re seeing it used more throughout events, not just on the main stage.
Brian Kellerman: It also opens doors for sponsorship and visual storytelling. But as we look at things like tariffs and geopolitical shifts — which may impact LED availability — it reminds us that planning ahead is essential. Building strong teams and staying flexible is how we stay resilient.
Brian Lagestee: And with disruption comes opportunity. As manufacturing and workforce shift back to the U.S., I believe meetings and events will become even more vital. When times are tough, you meet. When times are great, you meet. The difference between companies that lead and those that lag often comes down to how and when they gather.
