ABOUT THE CLIENT

We partnered with a national franchise organization in the home care industry that recognizes top-performing owners with an annual incentive trip. Each year, the trip moves to a new part of the country so repeat attendees always get a fresh experience. Past trips have taken the group to Florida and Napa. This year, they headed to a coastal California city with a distinctly different energy than anywhere they had been before.

Challenge 01

Choosing the right incentive trip venue.

Carlsbad has several high-quality beachside properties that could work for a group like this. When multiple venues are all strong contenders, you have to look past the brochure. Every property has its own flow, its own pricing, and its own set of trade-offs. Add in multiple stakeholders from the client's leadership team (each with a valid perspective) and landing on a single choice takes real process.

GoGather evaluated each property by walking through the full attendee experience from arrival to farewell during the site visit.  Our project management team was checking whether the room layout supports a small awards ceremony, whether the outdoor space works for a welcome reception, and whether the on-site amenities match what this group actually cares about.

Aviara Resort rose to the top because it checked every box:

  • A racket club that opened up group activity options

  • Strong food and beverage quality,

  • An atmosphere that felt genuinely elevated without being stiff.

It also gave the franchise group something they had not had before — a Southern California coastal experience distinct from their previous Napa visit.

Challenge 02

Designing activities for people who are wired to compete.

Incentive trip attendees are high achievers by definition. They qualified for this trip by hitting aggressive growth targets. A passive afternoon of free time alone is not going to create the kind of shared memory that ties a group together.

The challenge is finding an activity that feels fun and accessible, not forced or too intense, that still taps into the competitive energy this group naturally brings.

GoGather added a structured pickleball tournament to the program, held on-site at Aviara's racket club. The format started with a one-hour clinic so beginners could get comfortable, then moved into team competition with medals for the winners.

It was competitive enough to be engaging and accessible enough that no one felt left out. Attendees had more positive comments about this activity than almost anything else on the agenda.

That same evening, GoGather organized dine arounds at six local Carlsbad restaurants. Small groups headed out with a member of the client's leadership team to have important conversations in a more relaxed setting.

Making relaxation feel effortless for people who are always on.

The client's goal for this trip was to make attendees feel spoiled and to not have to think about logistics. For a group of franchise owners who spend most of their time running businesses, real rest does not come automatically. The moment an attendee has to figure out dinner or wonder how long they have before the next thing, the relaxation disappears.

Our team meticulously mapped every transition. Giving attendees enough time between breakfast and the morning session, a hospitality room open throughout the week as a consistent home base, organized dining so guests never had to figure out a meal on their own.

The downtown Carlsbad food walking tour handled both lunch and local exploration in one outing, so the afternoon felt like a gift rather than a task. Free time was scheduled deliberately, not squeezed in.

By the time attendees reached the farewell cocktails, DJ, and karaoke dinner on the final night, the feedback made it clear: they felt taken care of from start to finish.
