Challenge #1: Make networking the real reason to show up.
The franchise group wanted to create an incentive trip where winners could have the opportunity to connect with the corporate leaders and pick up strategies that would help them sell more next year. The challenge was making those connections happen naturally across a few days, while keeping the trip feeling like the reward it was meant to be.
Solution #1: Build connection into the flow of the agenda.
We helped our client design their incentive trip agenda for connections to happen naturally. The welcome reception set a lively tone with awards and built-in sponsor networking, which gave franchisees a chance to start making connections right away. The next morning brought a general session, then the afternoon opened for a dedicated networking session followed by poolside cabanas where attendees could grab a drink, sit in the sun, and keep the conversations going. Every part of the schedule gave franchisees a reason to talk with each other, the corporate team, and sponsors.

Challenge #2: Give the top performers something to brag about.
The franchise group's premier brand ambassadors needed to feel recognized at a level above everyone else. The year before, at their large conference in Las Vegas, these VIPs got a private night at The Sphere and a golf tournament. The challenge was keeping that sense of exclusivity consistent year over year, while making the experience feel new and tied to the location.
Solution #2: A leveled-up VIP day built around Orlando.
With Orlando right next to Disney, we created an exclusive third day for the top 16 performers. It opened with a golf tournament and ended with an off-site dine-around through Epcot, where these guests moved between restaurants and spent unhurried time with the C-suite. It was the kind of day people go home and brag about, which is how a trip like this builds its reputation.

Challenge #3: A budget that needed reallocating.
The franchise group had found their incentive trip budget allocation difficult in the past. They knew the experience needed to feel high-end for a smaller, more exclusive group. The harder question was where to increase spending and where to cut back. They wanted an experienced event management partner to help them reallocate their budget.
Solution #3: Spend strategically, negotiate the rest.
Our project management team reviewed what mattered most to the group across past events, then rebuilt the budget around a high-end experience: more spend in the areas attendees notice, and savings elsewhere through negotiation. We contracted the Waldorf Astoria Orlando, a luxe property, at a strong rate. The food and beverage budget went up, since that was a priority for this group. Gifting was reworked too, with higher-end pieces like premium banker bags sourced at a comparable cost. We also negotiated VIP welcome amenities, airport transfers, suite upgrades, and discounted resort and food and beverage fees, directing more of the budget toward the guest experience.

Final results.
The incentive trip exceeded the client’s expectations. Attendees called it great for networking. The corporate team earned strong brand placement across signage, branding, and swag, and franchisees went home energized and inspired to keep selling. The franchise group's leaders talked about it openly on LinkedIn for weeks afterward. Best of all, the trip gave the wider franchise network a real reason to qualify for the next trip, which is the entire point of a reward worth chasing.
